QuickBooks W-9 workflow
QuickBooks W-9 collection workflow
A practical QuickBooks W-9 collection workflow starts by finding vendors or contractors with missing tax details, confirming which records need W-9 follow-up, sending secure request links, reviewing uploaded documents, and preparing reviewed CSV exports for the next step. QuickBooks supports a contractor invite flow for collecting contractor details; see the QuickBooks contractor setup guidance. W9Finder by FormSignal adds the collection layer around QuickBooks: readiness scans, secure W-9 requests, private uploads, reminders, review handoffs, and reviewed CSV exports.
Who this page is for
This guide is for bookkeeping firms and small accounting practices that use QuickBooks but still manage W-9 collection outside the product. It is useful when vendor lists, missing documents, and staff follow-up need a clearer operating process.
Collecting W-9 details inside QuickBooks
QuickBooks Online includes a contractor invite flow. From Expenses & Bills, then Contractors, add a contractor and check the option to email them an invite. The contractor signs in through an Intuit account, enters their own W-9 details, and signs electronically, and QuickBooks stores the signed W-9 on their record under Documents; see Intuit contractor invite guidance. Collected details land in the tax fields on the vendor record, and the Contractors list labels each row W-9 ready or W-9 missing; see Intuit contractor setup guidance. Firms managing vendor lists across many client files usually still need a collection workflow around the QuickBooks invite, which is the job the rest of this page covers.
